Natural-Language AI Layer for GDS Bookings, Refunds and Reissues

Case Study Topics

Client Overview

The end client is a travel technology company serving travel agencies, online travel agencies, tour operators, destination management companies, travel management companies and corporate travel desks.

Its customers depend on global distribution systems to create bookings, manage itineraries and perform post-booking services.

The organisation required an AI-enabled layer that would allow authorised travel professionals to work in natural language instead of relying entirely on specialist GDS command syntax.

The end client’s identity is withheld due to contractual confidentiality and NDA obligations.

Project Overview

The project involved the development of a natural-language AI platform for simplifying booking and post-booking operations across global travel-distribution systems.

The solution was designed and developed by a SilwaTech partner company through SilwaTech’s partner delivery ecosystem.

The platform converted pasted emails, free-text instructions, and itinerary information into structured actions for

  • Travel agencies and online travel agencies
  • Tour operators and travel consortia
  • Corporate travel departments
  • Destination management companies
  • Travel management companies

The solution supported bookings, refunds, ticket reissues, queue monitoring and operational reporting across web, mobile and messaging channels.

It was designed to make GDS operations more accessible while retaining validation controls before transactional actions were submitted.

Business Challenge

  • Travel agencies and corporate travel teams faced several operational limitations
    • Continued dependence on legacy GDS terminals and specialist commands
    • Slow refund-eligibility checks across different booking systems
    • Time-consuming ticket reissues requiring fare recalculation
    • Complex handling of multi-segment itineraries
    • Missed queue items and potential booking losses outside working hours
    • Lengthy onboarding for agents learning GDS processes
    • Fragmented access across desktop, web, mobile and messaging channels
    • Need to validate fare rules before executing transactional actions

The client needed a controlled AI platform capable of converting natural-language requests into validated GDS actions while preserving operational oversight and fare-rule compliance.

Engagement Model

The project was delivered through SilwaTech’s partner ecosystem under a partner-led implementation model.

The solution architecture, AI development, GDS integration, application development, testing and technical implementation were performed by an experienced SilwaTech partner company. SilwaTech contributed through engagement alignment, partner collaboration and coordination of the required AI-automation and travel-technology capabilities.

The cross-functional delivery team included specialists in

  • Large language model engineering
  • Travel-system and GDS integration
  • Booking and ticket-servicing workflows
  • Backend and frontend development
  • Messaging-channel integration
  • Cloud infrastructure and DevOps
  • Quality assurance and reliability testing

Delivery progressed through staged phases, beginning with requirements analysis and technical feasibility before moving to a working proof of concept. Subsequent phases introduced additional features, integrations, performance improvements and operational controls.

The identities of the end client and implementation partner remain confidential. SilwaTech does not represent itself as the direct contracting party or sole technical implementer for this engagement.

Security and Governance Focus

The platform handled traveller records, booking information and transaction-related instructions, making security and operational control essential.

Key areas of focus included

  • Role-based access for agents, supervisors and finance users
  • Secure authentication across supported channels
  • Fare-rule validation before transactional execution
  • Controlled access to booking and traveller information
  • Secure integrations with GDS and travel-content providers
  • Traceable processing of booking and servicing requests
  • Exception handling for requests requiring human review
  • Data-handling practices designed to support GDPR requirements
  • An AI-processing architecture designed to minimise persistent storage of sensitive information

The zero-storage design objective applied to information processed by the AI layer and remained subject to the retention requirements of connected booking systems, transaction records and applicable regulations.

Value Delivered

The reported outcomes included

  • Refund-eligibility checks reduced from approximately 90 seconds to 2 seconds
  • Ticket-reissue processing reduced from approximately 5 minutes to 10 seconds
  • Up to 30% of potentially lost bookings recovered
  • More than three hours of GDS work saved per agent each day
  • 95% prevention of missed queue tickets
  • Agent onboarding reduced from several weeks to approximately one day
  • Reduced dependence on specialist GDS command knowledge
  • Faster booking and post-booking servicing
  • Continuous monitoring of time-sensitive queue activity
  • Consistent access across web, mobile and messaging channels
